Expo Producers: Three Tips for Incorporating Temporary Awnings Into Your Outdoor Show

If you are an expo producer planning an event outside, you may want to think about creating some shade for your event. Temporary awnings or canopies are a great way to add shade in a barren lot or treeless park. Here are some fun and functional ideas for integrating temporary awnings into your event:

1. Put the shade near the food vendors

If you have a lot of food vendors at your event, place a large temporary awning near them to create an al fresco dining area for your attendees. If attendees can get a bit of reprieve from the sun, it helps to re-energize them and increases the chances they may spend more time at your event. That gives them more time to engage with your exhibitors, which improves the exhibitor experience and makes them more likely to book booths at your future events.

While you can put shade anywhere, it makes the most sense to place it near your food vendors. You can fill that area with tables, or if the area is grassy, encourage attendees to pop down a blanket and picnic there.

2. Consider using awnings instead of pipe and drape

If your show budget has room to hire or buy more than one canopy, consider forgoing traditional pipe and drape. Instead of demarcating booths that way, put up awnings. Let each vendor set up their displays under an awning. This gives a fun look to an outdoor event, and it makes your vendors more comfortable.

3. Make a plan to secure awnings from the wind

To ensure the awnings don't blow away if the wind kicks up, you need to make sure that they are secure. Typically, to secure awnings or canopies, you need to tie guy ropes to the legs supporting the canopies, and then, you need to push pegs through the ropes and into the ground.

If your event is taking place on a gravel or grass surface, this is easy to manage. However, if your expo is taking place on a concrete parking lot, you will need to explore another option. For example, you can use buckets full of concrete with eye screws placed into them, and you can tie your guy ropes to these eyelets.

Note that you need to keep guy ropes out of the way of walking traffic so that attendees don't accidentally trip and fall.
